Customize your calendar preferences, notifications, and display options.

Customize how your calendar works to match your preferences and workflow.

Accessing Calendar Settings

Navigate to: Settings > Calendar or click the gear icon in Calendar view

General Settings

Default View

Choose your preferred calendar view:

  • Week view - See 7 days at a glance (default)
  • Month view - See the full month
  • Day view - Focus on one day
  • Agenda view - List format of upcoming sessions

Start Day

Set which day your week starts on:

  • Sunday (default)
  • Monday
  • Saturday

Time Format

Choose your time display:

  • 12-hour (3:00 PM)
  • 24-hour (15:00)

Timezone

Your timezone is used for all scheduling:

  • Set automatically based on your location
  • Manually override if needed
  • Sessions are converted to each user's timezone

Changing timezone: If you travel or move, update your timezone immediately. Existing sessions will be adjusted automatically.

Display Settings

Event Duration

Set minimum display time for sessions:

  • Actual duration (recommended)
  • Minimum 1 hour (even if session is 30 min)

Color Coding

Customize how events appear:

  • By session type (lesson, consultation, trial)
  • By student (each student gets a color)
  • By subject (math = blue, english = green, etc.)
  • Monochrome (all same color)

Show Availability

Toggle whether availability blocks appear on your calendar:

  • Show - See green "Available" blocks
  • Hide - Only show booked sessions

Notification Settings

Session Reminders

Get reminded before sessions:

  • Email reminders - 24 hours, 1 hour, 15 minutes before
  • Push notifications (requires app)
  • SMS reminders - Premium feature ($2/month)

Default: Email 1 hour before + 15 minutes before

Scheduling Notifications

Get notified when:

  • A student books a session
  • Someone requests to reschedule
  • A session is cancelled
  • Availability is requested

Daily Digest

Receive a daily summary of upcoming sessions:

  • Morning digest (7 AM) - Day's schedule
  • Evening digest (6 PM) - Next day's preview
  • Off - No digest

Booking Settings

Advance Notice

How far in advance students must book:

  • Minimum: 2 hours - 7 days (default: 24 hours)
  • Maximum: 1 week - 3 months (default: 8 weeks)

Example: With 24-hour minimum notice, students can't book a session for tomorrow if it's less than 24 hours away.

Buffer Time

Automatic buffer between sessions:

  • No buffer - Sessions can be back-to-back
  • 5/10/15/30 minutes - Automatic gap
  • Custom - Set your own duration

Recommended: 10-15 minutes for most tutors

Session Lengths

Offer these session durations:

  • 30 minutes
  • 45 minutes
  • 60 minutes (default)
  • 90 minutes
  • 2 hours
  • Custom lengths

Students will only see the lengths you enable.

Instant Booking

Allow students to book without approval:

  • On - Students can instantly confirm sessions (recommended for steady bookings)
  • Off - You must approve each request (more control)

New tutors: Start with instant booking OFF until you understand your schedule. Turn it ON once you're comfortable.

Integration Settings

Google Calendar Sync

Configure calendar sync:

  • Sync direction (one-way or two-way)
  • Which calendars to sync
  • Show event details (on/off)
  • Sync frequency (real-time, hourly, manual)

Zoom Settings

Configure video session defaults:

  • Auto-generate meeting links (on/off)
  • Enable waiting room (recommended: on)
  • Record sessions (default: off)

Advanced Settings

Session Expiration

Automatically remove old sessions from view:

  • Never - Show all past sessions
  • After 30 days
  • After 90 days (default)
  • After 1 year

Sessions are archived, not deleted. Access via History.

Recurring Sessions

Default settings for recurring sessions:

  • Maximum occurrences (4-52 weeks)
  • Skip holidays (on/off)
  • Auto-renewal (ask student to renew)

Private Hours

Block specific hours from ever being available:

  • Set hours you never want to tutor
  • Useful for meal times, personal commitments
  • Overrides auto-availability

Example: Block 12 PM - 1 PM every day for lunch, or block before 9 AM if you're not a morning person.

Cancellation Policy

Configure your cancellation rules:

  • Minimum notice for cancellations (24-72 hours)
  • Refund policy (full refund, partial, none)
  • Reschedule vs cancel (allow reschedule within X hours)

Default: 24-hour cancellation with full refund, or free reschedule

Policy applies to both: Whatever policy you set applies to both you and your students equally.

Data & Privacy

Calendar Privacy

Control what others see:

  • Public profile - Show general availability
  • Connected users - Full calendar visible to students you've worked with
  • Private - Availability visible only during booking

Export Calendar

Export your data:

  • iCal feed - Subscribe in any calendar app (read-only)
  • CSV export - Download session history
  • PDF schedule - Print your upcoming sessions

Resetting Settings

To restore default settings:

  1. Settings > Calendar > Advanced
  2. Click "Reset to Defaults"
  3. Confirm the action

This action: Resets all calendar preferences but doesn't delete any sessions or availability blocks.

Mobile Settings

Additional settings when using the mobile app:

  • Local notifications
  • Calendar widget preferences
  • Quick booking shortcuts

Tips for Optimal Settings

Students: Enable all notification types and set a 15-minute reminder. Use instant booking for easy scheduling.

Tutors: Enable 24-hour minimum notice and 15-minute buffer time. Use color coding by student to stay organized.

Both: Turn on Google Calendar sync and daily digest for the best experience.
