What to include in your first message:

  • Brief introduction (name, grade/level, goals)
  • Subject you need help with
  • Specific challenges or topics
  • Your availability preferences
  • Any questions about their approach

Good first message:

"Hi! I'm Sarah, a junior in high school struggling with AP Chemistry. I'm specifically having trouble with stoichiometry and equilibrium problems. I have a test coming up in 2 weeks. I saw you specialize in AP Chem - do you have availability for 2 sessions per week? I'm typically free after 4 PM on weekdays. Looking forward to hearing from you!"

For Tutors: Responding to Inquiries

When a student messages you:

Respond within:

  • 2 hours - Ideal, shows you're active
  • 4 hours - Good, still responsive
  • 24 hours - Maximum, or you'll lose the booking

Your response should include:

  • Warm greeting and thank them for reaching out
  • Acknowledge their specific needs
  • Confirm you can help with those topics
  • Share a bit about your approach
  • Suggest next steps (trial session, schedule time to chat)

Good tutor response:

"Hi Sarah! Thanks for reaching out. AP Chemistry stoichiometry and equilibrium are definitely my specialty - I've helped dozens of students master these topics. With 2 weeks until your test, we can absolutely make significant progress with 2 sessions per week.

My approach focuses on understanding the underlying concepts first, then lots of practice problems. I provide custom problem sets for homework and am available to answer questions via message between sessions.

I have availability:

  • Monday & Wednesday 4:30-7:00 PM
  • Tuesday & Thursday 5:00-8:00 PM

Would you like to start with a session this week to assess where you are and create a study plan? Let me know what time works best!"

Message Best Practices

For First Contact

Be specific: Clearly state what you need help with

Show engagement: Mention something from their profile

Suggest availability: Make scheduling easy

Keep it concise: 3-5 sentences is ideal

For Ongoing Communication

Respond promptly: Within 24 hours minimum

Be professional: Even when building rapport

Confirm details: Always double-check session times

Use AI scheduling: Let the assistant handle coordination

For Scheduling

Be flexible: Offer multiple time options

Confirm timezone: Especially for remote tutoring

Use natural language: "Can we meet Tuesday at 3pm?" works with AI

Confirm session: AI will create the session, verify it's correct

Common Scenarios

Canceling or Rescheduling

Via message:

Student: "I need to reschedule our Thursday 4pm session. Can we move it to Friday at the same time?"
AI: *Checks calendars* "I've found that Friday at 4pm works for both of you. Would you like me to reschedule?"
Student: "Yes please"
AI: "Done! Your session has been moved to Friday, December 15 at 4:00 PM."

Requesting Additional Sessions

Example conversation:

Student: "The last session was really helpful! Can we schedule 2 more sessions this week?"
Tutor: "Absolutely! I have Wednesday at 5pm and Saturday at 10am available."
Student: "Perfect, let's book both"
AI: *Creates both sessions automatically*

Sharing Progress

Keep communication flowing between sessions:

Student: "I tried the practice problems you assigned. Got stuck on #5 and #7."
Tutor: "Great work! For #5, remember to balance the equation first. Try that and let me know how it goes. We'll tackle #7 in our next session."

Message Etiquette

Do's

✅ Use proper grammar and spelling ✅ Be respectful and professional ✅ Respond within 24 hours ✅ Thank others for their time ✅ Keep messages focused and clear ✅ Confirm session details ✅ Give advance notice for cancellations
